How to make booking on a specialist's website easier
A useful booking journey begins before the calendar. Clients need to understand the service, price and conditions before choosing a time or sending a request.
Make booking status clear before and after submission
A visitor should know whether an appointment is confirmed or they have only submitted a preferred time.
Explain the service constraints
Clarify duration, preparation, location, price or pricing logic, cancellation and rescheduling before slot selection. For individually scoped work, an inquiry-first flow may be more appropriate.
Reduce friction on a small screen
Test slot selection, field entry, errors and confirmation on mobile. Do not collect personal information that the professional does not yet need.
Test the professional’s workflow
Manual bookings, breaks, overlapping slots and notifications all matter. Test cancellations and changes with the person managing the calendar, not just the interface designer.
Where FORMODUS can help
FORMODUS START can connect a site to an existing booking platform or scope a dedicated flow that fits the professional’s real working schedule.
Decide whether clients can book directly
Direct booking works best when service duration, availability and selection rules are clear. If you need to discuss the problem or estimate the work first, an initial inquiry may be more appropriate.
Distinguish a confirmed appointment from a preferred time. A 'Book' button should lead to an understandable outcome: the time is reserved, or you will contact the client to confirm. Make that status explicit.
Explain the service options
Use the same service names on the website and in the calendar. Show duration, price or the basis for an estimate. If options look similar, briefly explain who each one suits.
Provide a route for someone who does not know what to select, such as a short message to clarify their needs. This can avoid incorrect appointments that have to be changed manually later.
Show conditions before confirmation
Clients may need the address, meeting format, preparation and rescheduling rules. Show relevant conditions before they commit so that they can plan appropriately.
Ask for information needed to organise the appointment. An extensive questionnaire should have a clear purpose. For an ordinary initial inquiry, a name, contact and selected service may be sufficient; the exact fields depend on your work.
Check the journey on a phone
Open the service as a new visitor, select a time, change your selection and go back. Check whether the price remains clear, labels fit and the confirmation tells you what happens next.
When booking opens in another service, review the whole transition. The client should recognise that they are still booking with you. Keep an alternative contact available if they cannot finish.
Prepare the work after booking
Decide who sees new appointments, how changes are recorded and where the current schedule is checked. Telephone bookings need to be reflected too, or the calendar may offer a slot that has already been taken.
Reminder settings depend on the chosen service. Agree the channel, timing and associated charges before enabling them. Promise notifications only when the selected setup supports them.
Check before launch
Use agreed test details to check booking, rescheduling and cancellation, then confirm that the person managing appointments sees the changes. Keep checks separate from real orders and messages to actual clients.
Booking can be added to an existing personal website as a separate step. FORMODUS ready-made booking connections start at $240. Decide whether your immediate priority is introducing your practice or improving appointments, and review the corresponding service.
